Your information, handled the way your portraits are.
This policy covers what Arceo Studio Collective collects from club members, club management, and website visitors, how it is used, who it goes to, and what you can ask the studio to do about it.

Nothing is sold. You can ask at any time to see what is held, correct it, opt out of ad tracking, or have it deleted, and none of it costs you anything or changes how you are treated.

I. Who this policy covers
Arceo Studio Collective is a fine art portrait studio operated by Julian Arceo. The studio runs on site portrait programs at private clubs and sells prints, digital files, and wall art directly to the people photographed.
This policy applies to arceostudiocollective.com, arceoclubs.com, the booking system at arceostudiocollective.com/appointments, studio email and text correspondence, and any advertising or lead forms run through Facebook, Instagram, or Google.

II. Information you give directly
Most of what the studio holds comes straight from you, when you book a session, request information, or place an order. That can include:
- Name, email address, phone number, and mailing address
- Club affiliation and membership number where a club provides it
- Appointment date, time, and the names of family members joining you
- Notes you share about wardrobe, accessibility, scheduling, or what you want out of the sitting
- Order details, shipping address, and product selections
- Messages you send by email, text, contact form, or social media
Payment information
Card numbers are never stored by the studio. Payments are handled by third party processors who receive your card details directly and process them under their own privacy terms. What the studio keeps is the order record: what was purchased, the amount, and the date.
Information provided by clubs
A club hosting a portrait program may share member contact information so the studio can invite members to book. That information is used only to schedule and deliver the program at that club. It is not added to any general mailing list without consent.
III. Information collected automatically
When you visit either site, standard technical information is collected by the hosting platform and by the tools described in the next two sections:
- IP address and general location, usually at the city or region level
- Browser type, device type, and operating system
- Pages viewed, time spent, and links clicked
- The site or advertisement that referred you
- Cookie and device identifiers
IV. Facebook and Meta tools
The studio advertises on Facebook and Instagram using tools provided by Meta Platforms, Inc. Depending on how you reach the studio, that can include:
- Meta Pixel. Code on the sites that records page views and actions such as starting a booking or completing a purchase, so advertising performance can be measured.
- Meta lead forms. If you complete a form inside a Facebook or Instagram advertisement, the name, email, phone number, and answers you provide are sent to the studio.
- Conversions API. Event information about site or booking activity may be sent from the studio's systems to Meta to match with your advertising interaction. Contact details used for matching are hashed before they are sent.
- Custom and lookalike audiences. Contact lists may be uploaded in hashed form so advertising can be shown to existing contacts or to people with similar profiles.
- Page and message activity. If you comment on a post or send a direct message, Meta holds that content and the studio can see it.
Meta processes this information under its own terms. You can review the Meta Privacy Policy and adjust what you see through Meta Ad Preferences, including the off Facebook activity controls.
V. Google tools
The studio also uses services provided by Google LLC:
- Google Analytics. Measures how the sites are used, which pages get traffic, and how visitors arrive.
- Google Ads and conversion tracking. Records when an advertisement click leads to a booking or purchase, so advertising can be measured and retargeted.
- Google Tag Manager. Loads and manages the tracking tags described here.
- Google Forms and Google Workspace. Some inquiry forms, email, and file storage run on Google services, which means correspondence and documents you send may be stored there.
Google processes this information under the Google Privacy Policy. You can manage what Google collects for advertising at My Ad Center, and you can block Google Analytics entirely with the Google Analytics opt out browser add on.
FILL: keep or delete. If your booking or contact pages use Google reCAPTCHA, add a line here noting that reCAPTCHA collects hardware and software information for spam protection, subject to Google's privacy terms.
VI. Portraits and images
Portraits are the most personal thing the studio holds, and they are treated that way.
- Your images are used to produce and deliver what you ordered.
- Files are retained after your sitting so you can reorder, and so replacements can be made if something is damaged in transit.
- Images are never sold or licensed to third parties.
- Images are never published on the studio's sites, social media, club publications, or marketing material without permission from the person photographed, or from a parent or guardian where the subject is a minor.
- Permission can be withdrawn at any time. Once withdrawn, the image is removed from any studio controlled channel going forward, although material already printed or distributed cannot be recalled.
VII. How information is used
- Scheduling sittings and sending confirmations and reminders
- Photographing, editing, producing, and delivering orders
- Processing payments and keeping order records
- Answering questions and providing service after delivery
- Coordinating a portrait program with the club hosting it
- Sending studio updates and information about upcoming residencies, where you have opted in
- Measuring and improving advertising and the performance of the sites
- Meeting tax, accounting, and other legal obligations
Information is not sold. It is not traded for money to anyone.
VIII. When information is shared
Information is shared only in these situations:
- Service providers. Print labs, framers, shipping carriers, payment processors, booking software, email platforms, and cloud storage, each acting on the studio's instructions to deliver the service.
- Advertising and analytics platforms. Meta and Google, as described in sections IV and V.
- Host clubs. Where a club is hosting a program, participation and scheduling information may be shared so the club can plan the week. Order details and individual purchase amounts are not shared with club staff.
- Legal requirements. Where disclosure is required by law, subpoena, or to protect the rights and safety of the studio or others.
- Business transfer. If the studio is sold or merged, records may transfer as part of that transaction, subject to this policy.
A note on California law
Using advertising cookies and pixels can count as sharing personal information for cross context behavioral advertising, even though no money changes hands. Section XI explains how to opt out of it.
IX. Cookies and how to opt out
Cookies are small files stored by your browser. The sites use them to keep the site working, remember your preferences, measure traffic, and support advertising.
You have several ways to limit this:
- Block or delete cookies in your browser settings
- Use the Meta and Google controls linked in sections IV and V
- Turn on Global Privacy Control in a supported browser or extension, which is treated as a valid opt out request for California residents
- Opt out of interest based advertising across many companies at optout.aboutads.info
Blocking cookies may affect how parts of the booking system work.
X. How long information is kept
Contact and booking records
Kept while the relationship is active and for a reasonable period after, so reorders and questions can be handled.
Order and payment records
Kept as long as tax and accounting rules require.
Portrait files
Kept so you can reorder. You can ask to have your files deleted at any time.
Analytics data
Kept according to the retention settings of the platform collecting it.
XI. Your privacy rights
California residents
Under the California Consumer Privacy Act as amended, you have the right to:
- Know what personal information is collected, where it came from, why it is used, and who it is disclosed to
- Request a copy of the personal information held about you
- Request correction of information that is inaccurate
- Request deletion, subject to limited exceptions such as completing an order or meeting a legal obligation
- Opt out of the sharing of personal information for cross context behavioral advertising
- Limit the use of sensitive personal information
- Not be treated differently for exercising any of these rights

Other states
Residents of Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and other states with comprehensive privacy laws have similar rights, including access, correction, deletion, and opting out of targeted advertising. The same request process applies.
Visitors outside the United States
The studio operates in the United States and information is stored and processed there. If you are in the European Economic Area or the United Kingdom, you also have the right to object to processing, request portability, and lodge a complaint with your local supervisory authority.
XII. Making a request
Email Julian@arceoclubs.com and describe what you want. Requests are answered within 45 days, with an extension only where the law allows one and you are told in advance.
Before a request is fulfilled, your identity has to be verified, usually by confirming details already on file such as the email address used to book or the club and date of your sitting. An authorized agent can make a request on your behalf with written permission.
There is no charge for this.
XIII. Children
The sites are not directed at children and information is not knowingly collected online from anyone under 13.
Children are frequently photographed as part of family portraits at member clubs. Those sittings are booked by a parent or guardian, and images of minors are never published or used in any marketing material without written permission from that parent or guardian. If you believe a child's information was collected without consent, email the studio and it will be removed.
XIV. Security
Reasonable measures are used to protect information, including encrypted connections on the sites, access controlled storage for portrait files, and payment handling through processors that meet card industry standards. No system is completely secure, so absolute security cannot be promised.
XV. Other sites and services
These sites link to other places, including club websites, social media, and booking or payment tools. Once you leave, you are covered by that company's privacy policy rather than this one.
XVI. Changes to this policy
This policy is updated when practices change or when the law requires it. The effective date at the top of the page shows the current version. Significant changes are noted on the site.
